The Inbox: answering and approving
Everything waiting for you in one place: permissions, questions, codes and proposals.
When someone on your AI team needs you, it shows up in the Inbox. The number next to “Inbox” in the menu is what is waiting for you. While you decide, the rest of the team keeps working.
Kinds of requests
- Asks permission. It wants to do something that needs your go-ahead. Press Approve or Decline. “Reply…” lets you write an instruction instead.
- Question. It is missing a piece of information. Pick an option or type the answer.
- Needs you. Something only a person can do, like entering a verification code. A code is handed over once and never stored.
- Tap on its screen. If a service asks it to prove it is human (a CAPTCHA), you see that part of its screen. Tap where you would click, then “Done”.
- Stuck. It cannot continue alone. Look at its profile and give it a direction.
Approving or declining, step by step
- Read what it asks for: the notice says what it wants to do and why.
- Press Approve to let it go ahead, Decline to stop it, or Reply… to give it a different instruction.
- Need more context? Press View to open its profile.

To answer several at once, tick their boxes: the buttons apply to all of them. Before the change goes through, you have 8 seconds to press Undo.
Questions
Pick one of the options in the notice, or type your answer with “Reply…”. It reaches it within seconds.

Declining with a reason
If your company asks for it, declining opens a box where you write why. The reason is kept in the log, with your name and the time. It is switched on in Rules, under “Require a reason to decline”. By default, the reason is also learned for the next time that employee proposes something similar; untick “have it remember next time” if you don’t want that.

“Approve and let it do this alone from now on”
On some permissions, next to Approve, you will see Approve and let it do this alone from now on. You approve this time, and that employee stops asking you for permission for that function. Only whoever administers the company sees it, and only for permissions that involve no money, no connectors and no four-eyes approval. The sensitive one-offs, money and four-eyes approvals still wait for you. To change it later, go to their profile under Rules and permissions; everything stays in the log.
Four eyes
Some actions need two different people to approve them, for example payments above an amount. They are set up in Rules › Four-eyes approval. The person who asked for the action cannot approve it, and whoever has already approved cannot approve it again. If only one person is able to approve, the notice says so: choose backups in Rules, or give permission to someone else under Account › People.
Notices on your phone
Install the panel on your phone and switch on notices under Account. They only tell you about what cannot wait: “Needs you”, urgent items, the Claude session and the vault. On Android, urgent items and vault items come with Approve and Don’t approve buttons on the notice itself. On iPhone, first tap Share › Add to Home Screen and open the panel from there: without that, iOS does not allow notices. Tapping a notice takes you straight to the Inbox.
Who can answer
Administrators and managers. People with the “View only” role can see notices but cannot answer them.
